The situation
The workshop sends about 20 quotes a month and signs 3–5 contracts, averaging around €5,000 each. Every contract was made by copying an old one in Word and typing over the details.
Only the owner could do it. In his words, "nobody else can work with it".
What we built
He imports the commercial offer, reviews the items and enters the client's details. One click then produces the contract, the delivery-acceptance act and a data record, correctly named and numbered, straight into the shared Google Drive folder. It also:
- writes the amount in words in his own house style;
- reads the payment schedule from his contract template;
- continues contract numbers from what's already in the folder, so two computers never issue the same number;
- never overwrites an existing file.
Simple, because the client asked for it
The client's rule was "the simpler, the better". So the product is a single file you double-click: nothing to install, no account, no server and no subscription. It works offline, on Windows and Mac.
Output is ordinary, editable Word files, and the Drive folder is also the archive. The software never rewrites legal text: when his lawyer revises a contract, he swaps in the new template himself.
Offers are read with fixed rules, not AI, because a rule fails visibly while AI can confidently invent a plausible price.
What it caught along the way
Leftovers from a 2022 contract
Reused documents still carried an old client's contract number and total. The generator now refuses to produce any document containing such leftovers.
Silently dropped items
When an offer was missing "MDL" after a price, that item disappeared from the contract. It's now imported, with a warning.
A shrinking price
Editing a displayed price of "97 875,00" was being stored as 97. We found it during an unrelated change and fixed it before it reached a client.
A gap in a template
The company-client contract had a blank where the client's company name belonged in the signature block.
Result
Preparing a contract is now a form and a button instead of a manual copy-and-edit. It was designed so that someone other than the owner can do it, and the typical copy-paste errors are blocked before a document exists.
He uses it on real contracts and sends feedback in rounds; each round ships within a day or two. 610 automated checks cover the document's content, how the page renders, and the file structure Word checks when it opens a document.
